Policies
Access: Readers wishing to make use of the facilities and collections are asked to make an appointment at least one day in advance and are required to complete a Reader’s Application Form. A member of the staff will discuss the research topic with the reader and make recommendations for a research strategy. No materials may be reserved for the exclusive use of any reader. All readers must abide by the reading room rules and policies presented to them upon registration. Most of the holdings of the Weill-Lenya Research Center are freely available for consultation, with the following exceptions:
- access may be restricted to materials when handling would physically harm the item(s) or if the materials have yet to be processed;
- access to certain materials may be limited by stipulations of the donors;
- access to certain documents may be restricted when usage might constitute an invasion of privacy.
Original manuscript scores and letters generally are stored off-site, and advance notice is required to make them available. Researchers may consult photocopies or scans of any off-site materials without advance notice.
Photocopying and other duplication: Depending on the physical condition of the items requested, copies may be prepared for the reader’s use upon receipt of written permission from the author of the manuscript or from the appropriate heir or estate representative. (The Archivist may grant permission for copyrights controlled by the Kurt Weill Foundation for Music.) It is the responsibility of each reader to obtain the necessary permissions. Exceptions to the policy are considered when the author or heirs cannot be located after a diligent search is made. Although a fee is charged for the making of photocopies and other duplications, such copies remain the property of the Weill-Lenya Research Center. Further, such copies are not to be reproduced or made available to other persons without the written permission of the Weill-Lenya Research Center. Readers are permitted to make their own copies of published materials according to the fair use guidelines established by the U.S. Copyright Act.
Photo duplication: Researchers requesting photo duplications must complete a Photograph Loan Agreement.
Publication: All requests for permission to publish or quote from documents in the collection must be submitted on a Permission to Publish form. In no case does permission to publish imply transfer of copyright or proprietary rights. The individual researcher is responsible for contacting the copyright holder and retains sole responsibility for conforming to the U.S. Copyright Act. The Kurt Weill Foundation for Music shall not be held liable for researcher infringement of copyright. Any publication of material from the collections must credit the Research Center in the form described below. One copy of any publication based on materials in the collections must be deposited with the Weill-Lenya Research Center.
Permission to reprint musical examples must be arranged directly with the music publisher which owns the print rights in the composition in all territories where the publication will be distributed.
Fees: Duplication fees for scholarly or other non-profit usage are charged according to an established fee schedule, available upon request from the Research Center. Fees for usages which are determined by the Archivist to be predominantly commercial in nature are negotiated in advance. Fees for mail requests must be paid in advance.
Donations: Donations of new materials to the Weill-Lenya Research Center are actively solicited, gratefully accepted, and duly acknowledged. Donors are asked to sign a formal Deed of Gift to set forth the conditions under which the gift is made.
Finding aids and inventories
All finding aids and inventories are available for perusal in the Reading Room. Photocopies or WordPerfect electronic files of finding aids and inventories are available to researchers according to the fee schedule. All listings are updated as new acquisitions are processed.
